The weekly work behind every credit

Before the automation, the team downloaded the discount report for the reporting period, sorted it by vendor, and pulled the records into separate tabs. Each vendor needed their own spreadsheet, their own email, and a record of what had been sent.

Then came the follow-up: checking responses, tracing the request, and keeping track of which credits could be applied. That whole sequence had to happen again the next week.

One connected weekly workflow

We built an automation that runs on a weekly schedule and carries the work through reporting, sending, logging, and follow-up.

  • Organize discount activity by reporting period and vendor.
  • Prepare individual vendor spreadsheets with the relevant credit calculations.
  • Send the reports and log the activity.
  • Handle email follow-up and keep each request traceable.
  • Keep the reporting history available for review.

Make the next step easier

The value is in connecting the whole process. A finished spreadsheet still leaves someone with the job of sending it, recording it, and remembering to follow up.

Now the team can focus on reviewing responses and applying confirmed credits to the next invoice, with a record to refer back to. Calculated amounts remain subject to vendor confirmation before they are treated as approved credits.

What this demonstrates
Reporting automation / Connected workflows / Operational follow-up

Reliable work, week after week.

We connected reporting, sending, logging, and follow-up into one scheduled process. The team spends less time rebuilding spreadsheets and chasing the next step, so they can focus on reviewing responses and applying confirmed credits to the next invoice.

The recurring calculations and reporting follow defined rules, rather than relying on an AI model to do the heavy lifting each week. That makes the output consistent and easier to check, while avoiding repeated model-processing costs for routine work. It is a practical way to save staff time and keep the system straightforward to maintain.

The interactive preview uses illustrative data and a representative layout. Vendor names and business records are kept private. The Retail Operations Suite also shows anonymized examples from other operational workflows.
